Purpose of the Role:

The role of the Maintenance Planner / Overhaul Coordinator is to provide support for the maintenance of the Gold Coast Tram Fleet in the areas of Planning and Logistics for maintenance, modifications and overhaul. They are to ensure that the fleet complies with the technical maintenance plan. They are to assist in the continual improvement of the performance of the Tram Fleet and the Service department.

Primary Responsibilities:

Preventative & Corrective Maintenance Planning

- Plan & Communicate the Preventative Maintenance for the fleet each week ensuring that no tram in the fleet goes outside its tolerance band, including creation of work orders.
- Plan and Schedule Corrective Maintenance for the fleet including creation of work orders.
- Plan and Schedule Modifications for the fleet including creation of work orders.
- Assist in the planning of material required for Preventative & Corrective maintenance and Modification programs.
- Audit preventative maintenance plans ensuring that no tram in the fleet goes outside its tolerance band.
- Collection of kilometre meter readings to formulate the exam schedule & validate the current weeks’ exam schedule to ensure that the Fleet rollingstock will not go outside of the maintenance tolerance including major overhauls.
- Ensure that work orders are raised for any fleet maintenance and parts are allocated to each job.
- Upkeep of maintenance planning forecast model for preventative maintenance and overhauls
- Review of completed exam and identify issues that require engineering attention and TMP review.

Overhaul Planning / Coordination

- Plan, Schedule & Communicate the Overhauls for the fleet.
- Monitor and report on Base Scope Overruns (Validation of Overhaul variations with all parties)
- Monitor fleet kilometres to ensure fstagger for Smoothing and alignment of maintenance & overhaul Plans
- Responsible for the development and implementation of overhaul specifications (scope of work) for major components based on results of risk analysis, specifications, vehicle condition (ie. condition monitoring) and financial constraints.
- Forward Planning Requirements for Overhaul and use of schedules against Contract Deliverable
- Assist in the planning of material required for Overhauls.
- Liaise with BTA Procurement team and Suppliers on overhauls, scopes and turnaround times.
- Audit internal and external suppliers performing overhauls to ensure scopes are being following and quality of work is acceptable.
- Assist in Commercial and Financial Management of Overhauls
- Perform overhaul cost benefit and risk analysis for proposed solutions to assess their viability within the constraints of the contract and budget
- Review of completed overhaul work modules and identify issues that require engineering attention and TMP review.

Administration / Other Duties

- Assist Engineering with Monitoring of faults arising from overhauls components and report on any negative trends
- Assist in Updating and monitoring of all databases used within the organization for overhauled components including the maintenance, fault, quality, and feedback databases.
- Ensure that the technical library is up to date and that the service department is informed of any possible changes to the maintenance regime or maintenance practices.
- Assist in the preparation of monthly management reports.
- Liaise with internal and external service providers to ensure they comply with necessary standards and specifications.
- Assist in the upkeep and ongoing development of key business systems used in the service department.
- Assist in the upkeep and reporting of Key Performance Indicators used on fleet maintenance contracts
- Assist in the reporting of faulty components prior to their return to the supplier.
- Audit maintenance records.
- Liaise with internal and external quality representatives.
- Support the team with key supplier quality matters.
- Assist in performing customer quality and product audits
- Conduct supplier audits.
- Assist in the management of the NCR process in Maximo for the project and assist with raising and issuing non-conformance reports (NCRs) and follow up to ensure timely action and closure.
- Assist in management of Warranty Claim processes and Non-Conformance Costs.
- Assist in monitor the calibration process in Maximo and ensure that inspection, test and measuring equipment is identified, registered and calibrated in accordance with company requirements.
- Support Procurement with the repairable and asset management process of compromised components
- Support Procurement with the development, negotiation and the ongoing management of Maintenance Agreements, Parts Agreements and Service Agreements.
- Support Procurement with the Material Demand Planning Tool
- Support and build knowledge of overhaul process for the required assets
- Preparation of Asset Data (Serial numbers and Configuration) for new trams
- Assist in the continuous review of maintenance regimes with view to better balancing exams, optimising workflow, and reducing maintenance costs while satisfying safety requirements and minimising risk.
- Ongoing assessment and analysis of vehicle condition to ensure that the systems and appropriate actions are in place to maintain contractual compliance.
- Develop, review and modify work instructions, procedures etc.


- Assist/support other BT activities as requested by the Maintenance Operations Manager – LRV Fleets or by Maintenance Operations Manager, GCRT.
- Shift work may be required on a rotation or permanent bases as the business requirements of our customer are implemented


Key Requirements:

- University qualified engineer in mechatronics, mechanical or electrical discipline or qualified maintenance planner with rail vehicle maintenance and operations experience
- 3+ years’ experience in a Rolling Stock Fleet Operational environment preferred
- Computer Literate in MS Office programs (i.e. Word, Excel, Access)
- Able to use IT systems i.e. Maximo for data recording and management
- Previous experience in vehicle maintenance, planning, overhauls and modifications
- A good understanding of contractual requirements
- Understanding of technical specifications and ability to produce work package scopes
- Excellent customer service levels
- Ability to implement change and lead quality initiatives
- Hazard and safety analysis
- Understanding of requirements of Rail Safety
- Data collection and statistical skills
- Understanding and experience in performing risk and cost benefit analysis
- Logical thinking person and ability to work under pressure
- Able to communicate technical terms to non-technical people
- Experience in negotiating with customers and suppliers
- Be able to read and understand engineering and schematic drawings, sketches etc
- Application of preventative maintenance strategies based on failure predictions and other statistical tools.
- A good understanding of standards, maintenance schedules, maintenance instructions, fault reports and other documents
