In your role, you will:

- Coordinate the Vice President, Government Affairs, Communication & Marketing’s agenda, i.e. schedule/coordinate meetings (internal and external), ensure meeting requirements are prepared/scheduled (attendees, meeting logistics, documentation);

- Accomplish administrative tasks, which require a thorough comprehension of the business activities and practices.
- Manage day-to-day activities (review emails, phone calls, etc.), ensuring she is kept up to date on requirements and timelines.
- Coordinate meetings and appointments.
- Make travel arrangements and prepare expense reports for the Vice President and provide assistance to team members as needed.
- Plan yearly budget and headcount, ensure monthly follow-up on spending and invoice payments (this includes expenses related to the Ottawa office).
- Ensure follow up on activities and files.
- Compile and update data for various reports.
- Create and maintain databases / lists.
- Prepare and verify expense claims in accordance with company policies.
- Make decisions and recommendations within the authorized guidelines and procedures.
- Use judgment and initiative to plan and organize the assigned tasks.
- Have good knowledge of the Company's policies and programs to provide support to the team.
- Be the contact person for team members in Ottawa and outside of Ottawa.
- Write internal and external correspondence in both French and English.
- Perform other duties as assigned.
- This position is for a Temporary mandate with benefits.


As our ideal candidate,

- You have a College Degree in administration or the equivalent and a minimum of five (5) years in a similar position.

You possess an excellent knowledge of MS Office, Word, PowerPoint and Excel and Outlook.

You are fluent in French and English, both verbally and in writing.

As a team player, you are known for your dynamism, strong interpersonal relations, judgment and organization skills.

You can manage several priorities simultaneously.

You have a great deal of initiative and can work with minimum supervision, involving coordination and organization of work methods for the assigned duties.

You can maintain strict confidentiality when required to do so.

You are able to work under pressure and handle multiple priorities.

You are a team player.

You have a good knowledge of SAP (asset).
