HR Admin Advisor Romania

Your Role:

You will be responsible for dealing with all incoming HR service requests from Managers, Employees and HR Business Partners in our Operation Center in Cluj - Napoca.

You will resolve requests which include an end to end service to secure authorizations, address issues, create contracts, inform suppliers, update systems and maintain employee files, ensure accuracy, completeness of confidential personnel files and employee records.

Your Challenges:

- Prepare all required documentation for new hires/transfer of internal employees (labour contracts, addendums, job descriptions) in line with legal requirements;

- Ensure all pre-requisites for the hiring/transfer are met: medical check, required documents from the candidates (ID, studies diplomas etc.), signatures from legal representatives;

- Ensure benefits enrolment and submit information to Romanian authorities as per legal requirements;

- Support payroll process for Romania: time and attendance checks, medical leaves, meal vouchers, overtime payments, bonuses etc.

- Work close with the 3rd party payroll provider to ensure timely payment & accuracy of monthly salaries;

- Daily interaction with employees for support with different certificates/documents required from the employer;

- Implement systems updates & run reports using all available tools/ sources (CMT, HR Connect, Interflex, etc.);

- Ensure that all aspects of work are completed to SLA / legal deadlines and quality requirements;

- Ensure that information provided by the team is complete and accurate before updating or processing requests;

- Ensure that escalations and requests on hold are progressed;


- Education: Bachelor’s degree;

- Experience:1 - 3 years work experience, ideally in Finance or HR;

- Technical skills: Office Suite (Excel, Word, PPT), SAP or other ERP system; Proficiency in English;

- Personal skills: enjoys face to face interactions, can manage conflicts assertively, has no issues in working with people in higher authority positions (Managers, Directors, HRBPs) or state authorities, works well in stressful situations, can easily adapt to changes and is solution oriented.
