What are your contributions to the team?

  • Coordinate travel arrangements for team members and management
  • Prepare, review, and submit expense reports for Senior Directors, Directors, Fellows, and Heads of Design, and provide support to other team members as needed
  • Create and track purchase requisitions, ensuring timely follow-up
  • Prepare onboarding kits and support onboarding activities for new employees and interns
  • Support workforce administration, including timecard verification and follow-up with management to ensure approvals are completed
  • Arrange catering orders and coordinate delivery to conference rooms as required
  • Submit and follow up on IT requests for new employees and interns, including urgent requests when needed
  • Maintain office and IT supply inventory and ensure timely replenishment
  • Support conference room reservations and related coordination
  • Monitor and follow up on ongoing administrative activities and files to ensure completion
  • Compile, update, and maintain data for various reports
  • Create and maintain databases, tracking tools, and distribution lists
  • Perform other administrative duties as assigned

How to thrive in this role?

  • You have a post-secondary degree in administration
  • You have a minimum of five (5) years of relevant experience.
  • You possess an excellent knowledge of MS Office, Word, PowerPoint and Excel and Outlook.
  • You are fluent in French and English, both verbally and in writing.
  • As a team player, you are known for your dynamism, strong interpersonal relations, judgment and organization skills.
  • You have a great deal of initiative and involving coordination and organization of work methods for the assigned duties.
  • You can maintain strict confidentiality when required to do so.
  • You are a team player.
