What are your contributions to the team?
- Support the planning and execution of large-scale Tier 1 and Tier 2 HR and ESG events (150+ attendees), ensuring seamless coordination and high-quality delivery aligned with Bombardier standards.
- Coordinate logistics activities related to programs, services and events, including venue management, supplier coordination, travel arrangements, attendee tracking, and on-site operations.
- Prepare and support event-related communications, presentations, reports, dashboards, and stakeholder updates.
- Maintain and analyze complex attendee and event databases using advanced Excel and MS Office tools to ensure data accuracy, reporting efficiency, and actionable insights.
- Produce regular, timely, and factual reports for leadership, including budget tracking, attendance metrics, vendor analysis, and post-event performance reviews.
- Support budget planning, expense monitoring, invoice reconciliation, and financial reporting for events and projects while identifying opportunities for cost optimization.
- Conduct contract review and support vendor negotiations to ensure favorable terms, compliance, cost efficiency, and service quality.
- Build and maintain strong relationships with suppliers and external partners to facilitate problem-solving and successful event execution.
- Support various cross-functional projects according to established priorities, timelines, and organizational practices.
- Provide on-site support for internal and external attendees and act as a Bombardier host by responding professionally to event logistics inquiries.
- Keep team members and stakeholders informed through proactive communication, status updates, and issue resolution.
- Solve and interpret unusual or time-sensitive problems using sound judgment, analytical thinking, and collaboration with team members when required.
- Identify key problem drivers and recommend process improvements to enhance operational efficiency, reporting accuracy, and event execution.
- Demonstrate creativity and adaptability in high-pressure environments by implementing timely solutions to last-minute changes and continuously improving event processes.
- Adapt work methods to meet team objectives while achieving targets with minimal supervision.
- Ensure the Bombardier brand is professionally represented at all events and interactions.
How to thrive in this role?
- You have 2 to 5 years of relevant experience in event coordination, project management, operations, analytics, or related functions.
- You hold a university degree in Events Management, Business Administration, Communications, or equivalent experience.
- You possess advanced Excel and analytical skills, including budgeting, reporting, data analysis, dashboards, pivot tables, VLOOKUP/XLOOKUP, and financial tracking.
- You have experience with contract analysis, vendor management, and negotiation support.
- You demonstrate strong budget review and financial oversight capabilities with attention to detail and cost control.
- You are bilingual in French and English, both written and spoken; additional languages are considered an asset.
- You have strong interpersonal, communication, telephone, and professional writing skills.
- You possess excellent organizational and project management skills with the ability to manage multiple priorities under tight deadlines.
- You are flexible, adaptable, and able to perform effectively in fast-paced, high-pressure environments.
- You are available to work flexible hours in response to event and operational demands.
- You are comfortable performing occasional physical tasks related to event setup and logistics (e.g., moving boxes or materials).
- You are highly proficient with MS Office tools, particularly Excel, PowerPoint, Outlook, and Word.
- You are a collaborative team player with strong professionalism, initiative, and problem-solving abilities.
