What are your contributions to the team?

Records Archiving and Lifecycle Management

  • Participate in the inventory, analysis, and mapping of document collections, digital repositories, and information flows.
  • Apply and validate records retention schedule requirements, including triggers, retention periods, disposition events, legal holds, and authorized destruction.
  • Support the classification, transfer, migration, archiving, and controlled disposition of records in SharePoint, OneDrive, and designated repositories.
  • Contribute to the development of classification schemes, taxonomies, metadata, content types, and naming conventions to facilitate records retention and retrieval.
  • Document archiving procedures, compliance controls, and evidence of disposition, and develop user guides and supporting documentation.

Automation, Microsoft Purview, and Artificial Intelligence

  • Participate in the configuration of retention policies, retention labels, content types, and records management controls within Microsoft 365 and Microsoft Purview.
  • Automate archiving, review, approval, transfer, and disposition processes using Power Automate.
  • Explore and test AI use cases for automated classification, metadata extraction, duplicate detection, and improved information retrieval.
  • Assess the quality and accuracy of AI-generated results, document rules, thresholds, and human validation requirements, and identify risks related to privacy, bias, and classification errors.

Information Governance and Compliance

  • Contribute to the inventory of information assets and maintain reliable metadata regarding ownership, sensitivity, value, and lifecycle.
  • Support the identification of essential records, sensitive information, and applicable legal, regulatory, contractual, and operational requirements.
  • Participate in compliance controls, disposition reviews, and performance monitoring related to retention, obsolete content, duplicate records, and compliance gaps.
  • Collaborate on updates to policies, standards, and training materials related to archiving, records retention, disposition, and the responsible use of AI in records and information management.

During your internship, you will learn ?

Technical Skills

  • Records lifecycle management and application of retention schedules.
  • Structuring SharePoint Online repositories and using Microsoft Purview.
  • Designing classification schemes, taxonomies, metadata, and disposition rules.
  • Automation and responsible use of AI for content management, search, and control.

Transferable Skills

  • Project management and cross-team coordination.
  • Drafting policies and procedures.
  • Facilitating training and awareness workshops.
  • Developing a strategic perspective on information governance.

How to thrive in this role?

Education

  • Student in Information Management, Archival Studies, Library Science, Information Science, or a related field (Bachelor’s or Master’s degree).
  • Any academic program combining technology and records management will be considered an asset.

Technical Skills

  • Required: Knowledge of archival principles, records lifecycle management, and retention schedules, as well as a working knowledge of Microsoft 365.
    •  SharePoint Online (libraries, lists, metadata, permissions).
    • OneDrive, Teams, Outlook.
  • Asset: Experience with a document or records management solution, Microsoft Purview, retention labels, Power Automate, or AI tools applied to document and records management.
    • Exposure to Power Automate or Power Apps.
    • Knowledge of a governance tool (Collibra, Purview, OneTrust) is an asset.

Personal Skills

  • Strong attention to detail and accuracy in handling and documenting information.
  • Strong organizational skills and ability to manage multiple tasks simultaneously.
  • Strong written and verbal communication skills in both French and English.
  • Collaborative mindset, intellectual curiosity, and a strong interest in information governance.
