What are your contributions to the team?

Budget and Office Management 

•    Lead in proactively managing the government and industry affairs budgets:
o    Support establishment of annual budget plans and budget requests;
o    Monitor budget allocations, spends and implementation, including tracking budgets and advising managers of potential overages; 
o    Put in place purchase orders, as required, process invoices and support sponsorship and services contract negotiations and conclusions. 

•    Manage Ottawa office:
o    Liaise with building management company and manage lease agreement including lease payments; 
o    Ensure adequate IT and office equipment support and functionality; 
o    Support meetings at the office; and 
o    Ensure adequate office supplies. 

Support Leader of Government and Industry Affairs Team 

•    Proactively manage agenda of Leader:
o    Set up meetings with internal and external stakeholders; 
o    Send meeting requests and invitations, and follow up;
o    Liaise with internal and external stakeholders for meeting arrangements, including all logistical arrangements;
o    Organize pre-meeting briefing materials and meeting materials, including leave-behinds and presentations. 

•    Travel Arrangements and Expense Reports
o    Organize transportation and accommodation arrangements for team leader. Support travel and accommodation arrangements for other team members, as required. 
o    Prepare and file expense reports for team leader and also other team members, as required.  

•    Schedule and manage Daily Management Meetings (DMM) with Government and Industry Affairs Team:
o    Schedule DMMs and prepare DMM agendas; 
o    Manage team calendar and list of issues.

Team Support and Project Management

•    Manage list of external stakeholder contacts:
o    Leverage Excel, consolidate and regularly update contact list (Canada and international);
o    Monitor changes at key associations and governments;
o    Send on behalf of team updates to key stakeholders. 

•    Manage list of policy issues:
o    Assemble interns’ workplans;
o    Manage projects, timelines, follow up and deliverables with team members, as required;
o    Leverage Assana, Excel, PPT and other tools; 
o    Conduct complementary research and consultations (bio, background, policy input, consultations with key functions), as required.  
 

How to thrive in this role?

•    You have a minimum of two (2) years of related experience in administration, project management and government affairs roles;
•    You hold a post-secondary diploma in administration, public affairs or a related discipline;
•    You have knowledge in Government Affairs, Public Affairs, Public Policy or International Affairs/Trade;
•    You have excellent communication skills, English and French (both spoken and written);
•    You are familiar with the senior levels of Government and related institutions;
•    You have excellent knowledge of Word, Excel, PowerPoint and Outlook software in a Windows environment and a strong knowledge of social media platforms.
•    You have strong organizational skills
•    You have excellent Judgment
•    You have the ability to work within short deadlines and under pressure
•    You are a strong team player and good communicator
•    You are customer service oriented
•    You are motivated and organized
•    You have good Protocol skills
