Job Summary:

The FBO Executive is a multifunctional operational role responsible for delivering seamless business aviation ground handling services for private, corporate, and charter aircraft. The role combines sales coordination, flight operations support, ramp supervision, VIP passenger handling, and customer relationship management.

The executive will act as the primary point of contact for crew, passengers, and operators, ensuring that all operational, technical, and hospitality requirements are handled efficiently while maintaining the highest standards of safety, discretion, and service.

This role requires strong coordination skills, aviation operational knowledge, and a proactive service mindset to support the fast-paced environment of business aviation operations.

Key Responsibilities:

1. FBO Sales & Client Relationship Management

  • Respond to ground handling requests from aircraft operators, charter companies, and flight dispatchers via email, phone, and aviation platforms.
  • Prepare and provide service quotations for FBO handling, including aircraft parking, ramp handling, passenger services, fueling coordination, and concierge services.
  • Maintain strong relationships with flight departments, operators, brokers, and aviation partners to encourage repeat business.
  • Identify opportunities to upsell additional FBO services including:
    • VIP lounge and office usage
    • Crew transportation and accommodation
    • Aircraft cleaning, Hangarage and short-term parking
    • Catering and onboard supplies
    • Concierge arrangements
  • Support the FBO team in developing new client accounts and increasing FBO service utilization.
  • Maintain accurate records of handling requests, service agreements, and customer profiles.

 

2. Flight Operations Coordination

  • Coordinate all pre-arrival, arrival, turnaround, and departure requirements for business aviation flights.
  • Monitor flight schedules and update Estimated Time of Arrival (ETA) / Estimated Time of Departure (ETD) changes.
  • Liaise with relevant stakeholders including:
    • Airport authorities
    • Air traffic control coordination teams
    • Ground handling teams
    • Fuel providers
    • Catering vendors
    • Immigration and customs authorities
  • Arrange and monitor operational services such as:
    • Aircraft parking allocation
    • Fueling requests
    • Ground power unit (GPU) and air start unit (ASU)
    • Aircraft cleaning and lavatory services
    • Potable water services
  • Assist with flight permits, slot coordination, and operational documentation when required.
  • Ensure all services are prepared before aircraft arrival and during aircraft turnaround.

 

3. Ramp Coordination & Aircraft Handling Support

  • Coordinate with ramp teams to ensure safe and efficient aircraft parking, marshalling, and turnaround operations.
  • Supervise ramp activities during aircraft arrival and departure including:
    • Aircraft marshalling
    • Chocking and safety procedures
    • Passenger and crew transport coordination
    • Fueling supervision
  • Ensure compliance with airport safety procedures and aviation regulations.
  • Monitor ramp safety and ensure proper use of Ground Support Equipment (GSE).
  • Communicate with pilots and crew regarding handling requirements and operational updates.

 

4. VIP Passenger Handling & Customer Service

  • Deliver premium service experience to VIP passengers, crew members, and corporate clients.
  • Conduct meet-and-greet services for passengers and crew upon arrival at the FBO terminal or aircraft.
  • Escort passengers through private lounges, customs, immigration, and security procedures where applicable.
  • Coordinate concierge services including:
    • Ground transportation
    • Hotel bookings
    • Catering arrangements
    • Special passenger requests
  • Ensure discretion, confidentiality, and professionalism when handling VIP passengers and high-profile clients.
  • Address and resolve service-related issues quickly and professionally.

 

5. Meet & Greet and Passenger Experience

  • Welcome passengers and crew at the FBO lounge or aircraft stand.
  • Assist with passenger baggage coordination and ground transfers.
  • Provide passengers with information regarding airport procedures, onward travel, and services available at the FBO.
  • Coordinate closely with security, immigration, and airport service providers to ensure smooth passenger movement.
  • Ensure the FBO lounge and passenger areas maintain a premium hospitality standard.

 

6. Administrative & Reporting Duties

  • Maintain accurate flight handling records and service logs.
  • Prepare operational reports and post-flight service documentation.
  • Assist with billing verification and invoicing for services rendered.
  • Maintain internal records of client activity and service usage.
  • Ensure compliance with FBO operational procedures and service standards.

 

 

Qualifications

  • Education: Diploma or Degree in Aviation Management, Airport Operations, Hospitality, Business Administration, or related discipline.
  • Experience: Minimum of 5-10 years of experience in Business Aviation, FBO Operations, with at least 5 years in a supervisory role.
