What are your contributions to the team?
The Executive Assistant to the Vice President plays a critical role as the primary point of contact and trusted partner to the VP. This individual will manage a highly demanding schedule, coordinate extensive travel, and ensure seamless communication and alignment across global stakeholders. The successful candidate will act as a gatekeeper for the VP, proactively managing priorities, facilitating decision making, and ensuring the VP’s time is optimized to support business objectives. This role requires exceptional organisational skills, discretion, and the ability to operate effectively across multiple time zones and outside standard working hours when required.
Executive Support
- Serve as the key point of contact for all matters relating to the Vice President
- Proactively manage a complex and ever-changing diary
- Ensure effective prioritisation and time management
- Prepare briefing materials, agendas, and follow up actions for meetings
- Track key deliverables and ensure timely execution of VP priorities
- Attend networking events and conferences alongside or on behalf of the VP
- Build strong working relationships with customers, clients and 3rd parties
Be the VP’s Eyes and Ears
- Attend key meetings and social events where appropriate
- Capture key insights, risks, and opportunities
- Keep the VP informed of important developments when they are not present
- Build strong relationships across sites and leadership teams
- Operate as a trusted partner and extension of the VP
- Be responsive and flexible, including availability outside standard working hours when required
- Manage communications and represent the VP with professionalism and discretion
- Support both operational and strategic priorities
Drive Execution Behind the Scenes
- Manage deadlines, priorities, and expectations proactively
- Track deliverables and follow up with stakeholders to ensure progress
- Work closely with General Managers and leadership teams to ensure alignment
- Chase actions and commitments to ensure outcomes are delivered seamlessly
Travel & Logistics
- Coordinate extensive travel (International & US), including detailed itineraries
- Manage travel across multiple time zones with attention to efficiency and VP wellbeing
- Handle last-minute travel changes and troubleshoot issues proactively
- Ensure all logistics, accommodations, and meeting arrangements are seamless
Stakeholder Management & Collaboration
- Partner closely with US and International Executive Assistants to ensure global alignment
- Collaborate with General Managers and site leadership across multiple locations
- Facilitate communication between
- the VP and key stakeholders
- Support cross-site initiatives and leadership coordination
Operational Excellence
- Coordinate leadership meetings, site visits, and executive events
- Manage confidential information with the highest level of discretion
- Support strategic projects and administrative initiatives as required
- Maintain systems and processes to improve executive efficiency
